What personal data we collect and why we collect it

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

If you upload images or video files to the website for any purpose, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can theoretically download and extract any location data from images on the website.

We have a number of forms on the website for conference registrations, contacting us, and submitting other information to us. Each form has a clear purpose and your details will not be used for anything other than the specified purpose. You can request we delete any details you have previously submitted to us at any time by emailing us at ludomusicology@gmail.com.

If you leave a comment on our site you must submit your name and email address. We do not give the option to register on this website, but leaving a comment requires you to opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies may last for one year. Our WordPress site may set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Visitor comments may be checked through an automated spam detection service. Data is stored by WordPress and on a privately hosted UK web hosting company server.

How long do we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

All information (data) is retained in the website database indefinitely, unless otherwise deleted. Certain data may be exported or removed upon users request.

Additional Tools and Details

This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.

We collect information about visitors who comment on Sites that use our Akismet anti-spam service. The information we collect depends on how the User sets up Akismet for the Site, but typically includes the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

From time-to-time we use various plugins to obtain RSVPs or offer for purchase tickets to our events. The information you submit is retained in the website database, including:

  1. Attendees information (RSVPs and Tickets): name and email address
  2. Ticket information (RSVPs and Tickets): name, email address, and ticket number/SKU (via check-in page)
  3. Ticket purchaser information: name and email address
  4. Ticket purchaser billing address, which is collected through the use of WooCommerce, Easy Digital Downloads, or PayPal

Please note: The website owner can collect nearly any Attendee Information requested from ticket buyers by creating a custom registration form.

We make use of certain API keys, in order to provide specific features.

These API keys may include the following third party services: Google Maps and PayPal.
